Board Meeting Minutes

Present:

Call to order: The meeting was called to order at 6:30 PM by the President. The date, time, location, record of attendance and items in possession were recorded.

New Business: The meeting was held to discuss AGM preparation and proposed 2016 budget. The AGM to be held on Wednesday, September 23, at 6:30 PM at the Hayden Public Library.

Refreshments will be available for attendees. Bryan, Leon and Tim volunteered.

From the discussion on the 2016 budget, Barry made a motion to increase the annual dues by $50.00 which would bring the annual dues to $155.00. Leon seconded the motion and the board unanimously approved the increase. This will be presented at the 2015 Annual General Meeting.

It was also recommended that a Special Assessment be considered at some future date to create a Capital Fund. This would be used for upgrading of perimeter fencing, painting of mail box bases, and tree replacement.

To date 20 proxies had been returned. With attendance at the AGM we should have a quorum.

Any Other Business: Tim presented a copy of Domesticated Landscape to be introduced into the R&R’s as a supplement. This was approved by the Board. (copy on file).

Tim distributed a letter received from homeowner at 1211 Bentwood Loop, requesting permission to repaint the vinyl siding. Following a discussion it was decided we require more info. on the product to be used regarding paint chipping, wear/tear, and perhaps a requirement to replace the siding if the repaint is unsuccessful. Tim will talk to the homeowner and report back.

Bryan is working on the web page to make it easier to navigate. Leon recommended that the Board change e-mail addresses to identify their position, e.g. [email protected].

The meeting adjourned at 7:50 PM.
